   <subfield code="a">The purpose of the study was to direct attention to some of the factors that underlie the planning and development of an automated document tracking system (DTS). Its scope was limited to the management of: (1) in-process documents as differentiated from filed records, and (2) hard-copy documents as differentiated from the electronic or fully digitized versions.  The practical problem addressed by the study is the administrative feasibility of a common computer-based DTS in UP Diliman in terms of tasks, documents, equipment and time involved, staff competencies and attitude, leadership support, organizational climate, and related issues.</subfield>

   <subfield code="a">A total of 141 respondents coming from three levels of UP Diliman's constituency - staff, supervisors, management - were surveyed using three different sets of questionnaire to shed light on the above-mentioned factors. A broad review of the organization was also done to gauge its readiness for the proposed innovation. An Internet search of off-the-shelf DTS software products was conducted and, based on their literature, a comparative study of their features was done vis-a-vis those desired by the respondents and those already available in an up-and-running system in the Office of the Chancellor.</subfield>

   <subfield code="a">The survey reveals that it is not dissatisfaction with the current system/s that makes respondents favor the proposed innovation. There are problems associated with the manual recording system/s but these are not so serious as to make the respondents feel thoroughly dissatisfied with the situation. Instead, the subject innovation is perceived favorably as it is regarded as a possible improvement over the present set-up. Despite their receptive stance, however, the end-users and their supervisors are quite aware of a number of possible problems that may attend the implementation of a computer-based document tracking system on campus. Similarly, management, although also in favor of the idea, is constrained by limited resources and competing needs of their units from giving all-out support. The respondents gave valuable suggestions concerning system features that will make document tracking in the workplace more effective and efficient. The study ends with a set of recommendation for system development and management. A proposed DTS prototype for U.P. Diliman is presented along with its design considerations.</subfield>
